This notice explains how ProTech Planning ("ProTech Planning", "we", "us") handles personal data as controller. Questions about this notice or your personal data can be sent to info@protechplanning.com. ProTech Planning has not appointed a Data Protection Officer; the contact above handles privacy queries.
What this notice covers
This notice covers personal data handled through website visits, direct email and telephone enquiries, the website's enquiry, conflict-check and Health Check submission flows, initial conflict and suitability checks, scoping and appointment administration, and professional assignments where relevant. Submitting an enquiry does not create an expert appointment, consultancy engagement or legally privileged relationship.
Information we handle
- Name and contact details, organisation and professional role.
- Project, matter and principal-party names provided for the initial conflict check.
- Enquiry details, deadline information and subsequent correspondence.
- Conflict-check records, and contractual and appointment administration records where an engagement follows.
- Technical request information processed by the website's hosting provider, such as IP address, browser type and pages requested, in the provider's routine server logs.
- Information obtained from instructing organisations or other parties where relevant to an appointment.
Please do not submit privileged, special-category or extensive sensitive project material through the initial enquiry route. Where such material is later processed during an appointment, it is dealt with under the applicable engagement terms, security arrangements and lawful basis.
The enquiry, conflict-check and Health Check submission flows
When you choose to submit the enquiry form, the conflict-check form or a Health Check result, the information you have entered — your name, organisation, contact details, party names, matter reference and the content of the enquiry or result summary, as you provided them — is sent over an encrypted connection to a serverless function running on the website's hosting platform. That function forwards the submission as an email, through a transactional email delivery provider acting as ProTech Planning's processor, to the practice's mailbox. The website itself keeps no database of submissions: what is stored is the email as received in the practice's mailbox. This information is used to respond to you, to carry out the initial conflict check, and to scope and manage any resulting appointment. Nothing is submitted until you select the send action, and if a submission fails you are told so and offered the direct email address instead.
The Delay Claim Health Check
Health Check answers are processed in your browser, and the assessment itself involves no transmission to ProTech Planning. Nothing is sent or stored unless you choose to submit the result: selecting "Send this result to the practice" sends the result summary shown on screen, with the name and email address you enter, through the submission flow described above. The copy action places the summary on your clipboard only; information then leaves your browser only if you paste or send it elsewhere. The Health Check is a user-controlled preliminary self-assessment; it does not produce expert evidence or automated legal decisions.
Purposes and lawful bases
- Responding to enquiries and initial discussions: our legitimate interest in operating a specialist practice and responding to those who contact it.
- Conflict and suitability checks: our legitimate interest in maintaining professional independence and avoiding conflicts of interest before work is accepted.
- Scoping, proposals and steps taken at your request before an engagement: necessary to take steps prior to entering a contract.
- Managing appointments and providing agreed services: necessary for the performance of the contract.
- Business, professional and financial records: compliance with legal obligations, including tax and accounting requirements, and our legitimate interest in administering the practice.
- Website and information security: our legitimate interest in protecting the website and the information we hold.
- Legal, regulatory and professional compliance: compliance with legal obligations.
- Establishing, exercising or defending legal claims: our legitimate interest in protecting the practice's legal position, where relevant.
The website does not currently rely on consent for any processing: it carries no marketing, analytics or advertising technologies. If consent-based processing is introduced, this notice will be updated and consent will be capable of being withdrawn.
Recipients and providers
- Website hosting and content delivery: Vercel Inc., which serves the website and generates routine request logs.
- Font delivery: typefaces are served from this website's own domain; no font or other asset is requested from an external service. See the Cookies and Similar Technologies page.
- Form submission delivery: a transactional email delivery provider forwards website form submissions to the practice's mailbox as ProTech Planning's processor.
- Business email: ProTech Planning's business email provider processes enquiry correspondence.
- Where applicable to the practice's operation: IT support, professional advisers, insurers, accountants, regulators or public authorities where disclosure is required, and external specialists engaged under appropriate terms.
Personal data is not sold.
International transfers
Some providers used by this website, principally the hosting provider, operate international infrastructure, and technical information such as IP addresses may be processed outside the United Kingdom. The safeguards that apply depend on each provider's current terms and data locations, which ProTech Planning keeps under review; this notice will be updated if the position materially changes.
Retention
Personal data is retained only for as long as reasonably necessary, assessed by reference to the nature of the information, the purpose for which it is held, applicable legal and professional obligations, and the potential need to establish, exercise or defend legal claims. In particular:
- Preliminary enquiries that do not proceed: kept only as long as needed to conclude the correspondence and maintain a record of the contact.
- Conflict-check records: kept so that future conflicts can be identified accurately.
- Client and appointment records: kept for the duration of the engagement and afterwards by reference to professional obligations and the limitation periods applicable to potential claims.
- Financial and tax records: kept for the periods required by law.
- Website request logs: held by the hosting provider under its routine log-retention practices.
Your rights
Subject to applicable law, you may request access to your personal data, correction, erasure, restriction of processing, and portability of data you have provided where processing is based on contract. Where consent is ever relied on, you may withdraw it.
Right to object. Where we process personal data on the basis of legitimate interests, you have the right to object to that processing. To exercise it, contact info@protechplanning.com.

Security
Reasonable technical and organisational measures are used to protect personal data, but no internet or email transmission can be guaranteed to be completely secure. Detailed project records should be transferred only through a method agreed after the initial conflict check.
Automated decision-making
This website does not use solely automated decision-making producing legal or similarly significant effects. The Delay Claim Health Check is a user-controlled preliminary self-assessment; it does not affect access to services and does not determine any professional conclusion.
Changes to this notice
